Important Things Everyone Should Know about Editing

Successful and effective editing is strongly connected with phases of writing, specifically pre-writing, writing and post-writing. To remind, prewriting is the organization phase, i.e. a stage during which the author is planning all the writing, selecting books, journals, and magazines that will be used as sources of information in the actual writing process. This process can take a while and the better you prepare, the better the final product will be. It often happens that preparatory steps take a while (up to a week or two), while the paper itself is written in a matter of hours. Pre-writing is unthinkable without a draft or a rough plan that can be followed during later stages. Writing phase is when the actual writing is done. Essentially, during this phase you will need to take your outline and 'put flesh to the bone', i.e. add up more information, put proper references and organize the paper. Editing and proofreading are, in essence, the post-writing phase of writing. Ideally, in order to edit the paper properly, you would need to take the following steps:

STEP 1. Once you have completed the writing stage, put your paper aside for at least a day. Some authors put their papers aside and come back to them in a week or so. This time, allows ideas to settle and ultimately you might get important insights regarding the subject. Alternatively, you might want to rearrange your paper, add or throw out some literature. It often happens, however, that students are working under tight deadlines, therefore a good alternative to putting the paper aside is having someone read the paper and edit it (if needed). Such second opinion will allow you to look at the paper objectively and point out its drawbacks as well as strong sides.

STEP 2. Look for grammar and spelling errors. Generally, this activity is referred to as proofreading and includes reading the paper for spelling, punctuation, and grammar errors. This stage of writing can and should be done at least several times. For example, you can proofread your paper after completing the writing stage, then give it a couple of editing passes and crown your work with another proofreading round. Again, it might be worthwhile to put the paper aside and get back to it later. Interestingly, some mistakes pass unnoticed if you try to proofread the paper for several times in a row; however nearly all of them get spotted if you look at the writing after some time. Speaking of grammar and spelling: there is a number of automatic grammar checkers you could use, e.g. Grammarly. We wouldn't recommend relying on it fully, however, it can do some basic checking work for you, and you can take it on from there.

STEP 3. Check how the paper flows. This involves steps on how well ideas are interconnected in the paper. You should check whether ideas in your paper are connected logically if one flows out of another. The so-called 'stream of conscience', where thoughts are unclear and unorganized are very hard to understand and track. Make sure the text you work on is cohesive. Text cohesion is attained by use of connective words like therefore, however, on the one hand, on the other hand, summing up etc. These words provide smooth logical transitions between the structural elements within your text. Cohesion will be explained in greater detail below.

Apart from fishing out spelling and grammar errors, using quality and balanced information, you should always bear in mind text cohesion. Basically, it makes the paper flow, ensures it is logically organized and makes it easy to understand and follow. When writing to ensure cohesion, you should pay attention to the following:

  • Using thematic words
  • Ensure parallel constructions
  • Watch lexical ties
  • Use transition signals

Transition from old information to new (ensures sentence clarity):
The two to three paragraphs following the essay introduction are called body paragraphs (new information). Body paragraphs(old information) dwell in greater detail on items mentioned in the introduction.
